NCI Information Systems, Inc. is seeking a Senior Administrative Assistant/Office Manager to support the PEO Soldier Project Manager Soldier Equipment (PM SEQ) office in Petersburg, Virginia just off of Fort Lee Military Installation. This position will report directly to the on-site senior government/NCI officials and back to the program management office in Springfield, VA. Individual will greet visitors graciously and in a professional manner, create a good personal image through a neat, clean, business like professional appearance and a positive, cheerful attitude, respect the need for confidentiality and sensitivity of Front Office information and the ethical requirements of own work, and must be trustworthy. Activities will include answering telephones in a pleasant, helpful and professional manner, accurately recording messages and reliably passing messages to recipients in a timely manner, and may be required to prepare and process Government travel documents (orders, vouchers) using approved Government tools which requires an understanding of the Defense travel System (DTS) and Microsoft Outlook. Individual must be punctual, have good interpersonal skills, be articulate and effective with verbal and written communications, cooperate, and be understanding and diplomatic in dealings with others. Additionally the qualified candidate will have previous experience and knowledge supporting Army Offices and personnel, manage the procurement and tracking of office supplies, timesheets, expense reports, and type a variety of narrative material (correspondence, charts, etc.) involving the common technology of the Army Acquisition process using correct spelling, grammar, capitalization, punctuation and proper format with attention to detail. Individual will be responsible for in-processing NCI employees, managing employee travel and validating their reimbursement. Individual will be responsible for the facility security and NCI and Government property accountability. Individual will update personnel rosters, emergency charts, and more for the Front Office as required. Activities will also include preparing packages for shipping, managing calendars; have basic IT knowledge to the extent of handling small troubleshooting errors and helping fellow employees and government representatives.
Those interested should be excellent communicators willing to work with heavy task loads in a team environment. An interview at our Springfield or Ft. Lee office is required for this position.
Required
- 4-6 years overall administrative experience
- Ability to handle multiple tasks simultaneously
- Experience in providing support to processes and systems
- Competence in MS Office tools
Preferred
- Level I Program Management certification
- Prior military experience highly desired
- Office Management experience
- Experience with facilities coordination and visitor control
- Ability to handle and knowledge of basic HR processes and principles highly desired as this position will manage timesheets, expense reports, and new employee in-processing
